Dormant was easy to detect. Intent wasn't.

MorrowDesk already knew when customers stopped logging in, stopped using key workflows, or allowed their subscriptions to lapse. The company had no shortage of inactivity data. But inactivity meant different things.

Some customers had simply paused. Some had lost an internal champion. Some had completed a temporary project. Some had moved permanently to another solution. Others still showed behaviors suggesting they might return.

5,000 dormant accounts didn't mean 5,000 opportunities

MorrowDesk's existing win-back process treated large dormant populations as campaign audiences. Around 5,000 accounts could qualify for outreach at any given time. Broad campaigns generated roughly 4.8% reactivation.

Growth had limited visibility into which customers had real comeback potential, so valuable accounts often received the same message as low-value, deeply inactive users.

RetainIQ changed the question from “Who went dormant?” to “Who is worth reactivating now?”

RetainIQ considered historical product usage, recency of inactivity, previous subscription value, engagement depth, account tenure, previous campaign response, plan and customer value, and available CRM context, then turned those signals into a prioritized decision.

The improvement did not come from sending more campaigns. MorrowDesk actually contacted fewer customers. The team concentrated effort on accounts where product history, customer value, engagement, and recency created a stronger reason to intervene.
