How NimbleArc cut surprise churn by 29% while reviewing 62% fewer accounts

NimbleArc already had health scores, product data and weekly risk reviews. RetainIQ helped its CS team separate meaningful revenue risk from everyday account noise, and focus intervention where the evidence justified action.

Result: 29% fewer surprise churn events, 62% fewer accounts requiring weekly manual risk review

“We didn’t need another health score. We already had plenty of signals telling us accounts might be at risk. What we lacked was a reliable way to know which account deserved a conversation today, and why.”

Risk was visible. Urgency wasn’t.

NimbleArc's CS organization already had access to product usage, support activity, CRM engagement, renewal dates, billing data and customer health indicators. But different signals frequently pointed in different directions.

A temporary usage decline might be harmless. A support spike could indicate frustration or simply successful product adoption. An inactive executive sponsor could matter enormously six weeks before renewal and very little nine months earlier.

The team's challenge was not detecting signals. It was deciding which combination of signals justified intervention now.

Risk wasn’t the decision. It was only the evidence.

240 accounts to review didn’t mean 240 accounts needed action

Every week, CS leaders and CSMs reviewed approximately 240 accounts that had triggered some type of health or risk concern. This created investigation overhead, alert fatigue, inconsistent prioritization, and time spent reconstructing context from multiple systems, genuine risk competing with ordinary account variation.

The team could tell which accounts had signals. It struggled to determine which accounts had actionable risk.

The deeper question was not “Which customers look unhealthy?”

It was:

“Which customer deserves intervention before the next renewal conversation?”

Retention Priorities:

Not every risk signal deserves an intervention. Every intervention deserves evidence.

RetainIQ changed the question from “Who is at risk?” to “Who needs us now?”

RetainIQ combines product-usage changes, engagement trajectory, support activity, account value, renewal proximity, payment signals, executive sponsor activity and historical account patterns, then turns the evidence into priority, urgency, confidence and a recommended action.

The decision RetainIQ surfaced

The improvement did not come from creating more risk alerts. NimbleArc investigated fewer accounts, while CSM attention moved toward customers where revenue exposure, behavior change, renewal timing and account context created stronger evidence for action.

Better decisions, not more alerts.

$426K ARR renewed among accounts where prioritized interventions were approved during the illustrative period.

For this illustrative case study, “surprise churn” refers to a churn or non-renewal event where the account had not been identified as a high-priority intervention at least 30 days beforehand.

RETENTION DECISION

Retention became a decision problem, not a health-score problem

NimbleArc did not need another dashboard telling its team that customers could churn. It needed to know which account deserved intervention, why now, how strong the evidence was, and what the team should do next.

During the illustrative period, surprise churn events declined by 29%, weekly manual account reviews fell by 62%, and 19 intervened at-risk accounts representing $426K ARR subsequently renewed.

Instead of asking “Who looks unhealthy?” the team could ask:

“Who needs us now, and what evidence says we should act?”

“The biggest change wasn’t getting another score. It was starting Monday’s risk review with a small number of accounts where we could actually explain what changed, why it mattered, and what we should do next.”
